PAYMENT TERMS

Base price: 2970 PLN/person.

 

Reservation requires a deposit of 1000 PLN within 72 hours of receiving the reservation confirmation via email.

 

SERVICES INCLUDED IN THE PRICE

Accommodation in the Palace in Białka (near Radzyń Podlaski).

Full board: breakfast, lunch, afternoon snack, dinner.

The session starts with lunch on the first day and ends with lunch on the last day. (Vegan diets should be indicated on the departure cards)

Implementation of the artistic program.

Care from pedagogical and instructional staff.

NNW insurance and tax.

 

TRANSPORT

 

Transport organized by the Organizer:

Both ways (Warsaw – Radzyń Podlaski – Warsaw) – 220 PLN/person.

One way – 110 PLN/person.

The choice of transport must be reported at the time of reservation.

Changes are only possible with the Organizer's consent and subject to availability.

In case of cancellation of transport organized by the Organizer, no refund will be granted.

 

Own transport:

Arrival of participants on the first day – 1:00 PM.

Pickup on the last day – 2:00 PM.

 

ONLINE RESERVATION

 

Fill out the "RESERVE" form on the offer page.

You will receive a reservation confirmation via email within 24 hours.

If you do not receive it – contact us at:

Reservation is valid after paying the deposit or the full amount to the Organizer's account (details in the confirmation email).

Payments must be made within 72 hours of reservation.

Failure to pay on time and lack of information about a delay may result in the cancellation of the reservation.

After submitting the reservation, you will receive a complete set of documents and a transfer number at the specified email address.

Documents must be printed, signed, and sent as a scan to: mojabajka.ara@gmail.com. The originals of the documents must be delivered on the day of departure.

 

LEGAL BASIS

Familiarize yourself with the Terms of Participation, Terms of Purchase, and the Offer before making a reservation. The Organizer signs a Participation Agreement with the legal guardians of the child. In the absence of one guardian's signature, a written explanation must be submitted. Each camp is registered with the Education Authority.

The participant should have a Qualification Card and a school ID.

The Qualification Card can be filled out by a parent and should include health data, PESEL, contacts for guardians, and consent for medical assistance.

 

IMPORTANT RULES:

During the camp, it is prohibited to use phones or other electronic devices during classes.

The Organizer is not responsible for valuable items brought by the participant.

It is prohibited to possess canned drinks, dangerous items, medications (unless with parental consent), and any substances, alcohol, and energy drinks.

In case of gross violation of rules (e.g., substance use, aggression), the participant may be removed from the camp at the parent's expense.

Any special needs of the child (e.g., diet, medications) must be reported before departure.

 

TIPS FOR PARENTS

Detailed information about the trip (hours, meeting place) will be available on the website no later than 2 weeks before the start of the session.

 

Please arrive punctually for the meeting. Delays will be the parent's responsibility (e.g., the need to transport the child at their own cost).

TERMS OF PARTICIPATION

 

I. GENERAL PROVISIONS

These terms apply to participation in all artistic camps organized by the ACADEMY OF ARTISTIC DEVELOPMENT (hereinafter referred to as the Organizer) in accordance with the provisions of the Act on Tourist Services.

II. CONTRACT CONCLUSION AND PAYMENTS

The agreement between the Organizer and the Client (legal guardian of the participant) is concluded in writing after reviewing the offer, these Terms of Participation, and paying a deposit in the amount determined for the given event. In the case of registration via the online form, the contract becomes effective upon payment of the deposit.

The Organizer prepares the contract based on the paid deposit and sends it to the Client electronically. The Client is obliged to return a signed copy of the contract (a scanned signed version).

The Client must pay the remaining amount no later than 30 days before the start of the camp to the specified bank account.

For registrations made less than 30 days before the start of the camp, the full fee must be paid at the time of signing the contract.

The prices set by the Organizer include VAT.

Failure to make the payment on time or failure to submit the required documents (e.g., Qualification Card) will be considered a withdrawal from the camp on the Client’s part.

The Client is responsible for verifying the accuracy of the information provided in the contract.

Any changes to personal data or contract terms must be immediately reported to the Organizer.

III. CONTRACT IMPLEMENTATION

Participation of a minor in the camp requires written consent from their legal guardians, expressed in the Qualification Card, submitted to the Organizer no later than 7 days before the start of the camp.

By signing the contract, the Client declares that the Participant’s health condition allows for camp participation. In the event of illness during the camp, the Client agrees to the sharing of medical records with the Insurer and releases doctors from medical confidentiality.

The purchase and cost of medications, both basic and specialized, are the responsibility of the Client.

Parents/legal guardians must inform the Organizer about any health issues, allergies, or behavioral disorders of the child. If such information is withheld, the Organizer is not responsible for any consequences.

The Organizer is responsible for the quality and delivery of services during the camp, except in cases beyond their control, such as weather conditions, governmental decisions, or force majeure.

The Organizer does not refund the cost of services not used due to the Participant’s actions (e.g., late arrival, partial withdrawal from the program, illness).

IV. PRIVACY POLICY

The administrator of personal data is the Academy of Artistic Development, Mateusz Mikołajczyk. Data collected through the application form will be used solely for organizing the camp. It is stored until the end of the camp session and deleted after 3 months. Data will not be shared with third parties unless required by law. V. CAMP CANCELLATION

The Organizer reserves the right to cancel the camp or change its price due to circumstances beyond their control, such as force majeure, political events, changes in fuel prices, currency fluctuations, administrative decisions, failure to meet the minimum number of participants, or threats to participant safety. The Organizer will notify of any changes no later than 7 days before the camp starts.

In the event of cancellation, the Client has the right to:a. A full refund of the amount paid,b. Participation in a substitute camp of the same standard, possibly with an additional payment or a refund of the price difference.

The Client must inform the Organizer of their decision regarding the new terms within 3 days of being notified. Lack of response will be considered acceptance.

VI. RESIGNATION FROM CAMP PARTICIPATION

The Client may transfer their rights and obligations under the contract to another person, provided that this person meets the camp participation criteria and the Client notifies the Organizer in advance, as specified in the contract.

The Client and the new participant are jointly responsible for all fees and any costs associated with the change.

Resignation from the camp must be submitted in writing. The date of receipt of the notice by the Organizer is considered the date of resignation.

In the event of resignation, the Organizer reserves the right to deduct costs incurred up to the moment of resignation. These are as follows:a. The value of the deposit – for resignations no later than 30 days before the camp starts,b. 70% of the camp price – for resignations from 30 to 14 days before the camp starts,c. 90% of the camp price – for resignations from 14 to 7 days before the camp starts,d. 100% of the camp price – for resignations less than 7 days before the camp starts, unless the Client provides a replacement participant.

If the Organizer is not notified of the resignation, the Client is obligated to pay the full camp fee.

VII. INSURANCE

Camp participants are covered by accident insurance (NNW) for the duration of the camp.

The insurance covers benefits resulting from accidents that may occur during the camp, in accordance with the terms defined by the Insurer.

The Organizer is not responsible for the loss or damage of participants’ personal belongings.

All insurance claims must be submitted directly to the Insurer.

VIII. COMPLAINTS

The Client has the right to submit a complaint if the services provided do not match those specified in the contract.

Complaints must be submitted in writing to the Organizer within 14 days of the end of the camp.

The Organizer will review the complaint within 30 days of receiving it and will inform the Client of the outcome.

If the complaint is accepted, the Organizer may offer a partial refund or other compensatory services.

IX. PARTICIPANT RIGHTS AND OBLIGATIONS

The Participant has the right to services in accordance with the contract and the Organizer’s offer.

The Participant must carry a school ID.

The Participant must follow all safety and organizational rules, including fire safety regulations at the accommodation site and during travel.

The Participant must strictly follow all camp regulations, instructions from the staff, and the laws of the country in which the event is held.

The consumption or possession of alcohol, tobacco, or drugs during the camp is prohibited. The Organizer reserves the right to terminate the contract immediately (expulsion from the event) in such cases or if the Participant hinders program execution or endangers themselves or others. All costs related to the continued stay and return of the Participant in such cases shall be borne by the Client.

If the Participant is a minor, the Client (legal guardian) declares that, in the event of contract termination due to the Participant’s fault, they will collect the Participant from the camp within 48 hours of being notified by phone.

The Client agrees to the Participant being subjected to breathalyzer or drug tests in the event of suspected substance use.

The Client is responsible for any damage caused by the Participant and agrees to repair or cover the cost of such damage in accordance with the law.

X. ADDITIONAL INFORMATION

The Organizer does not provide care for animals or secure storage for participants’ valuables (e.g., phones, laptops).

XI. IMAGE RIGHTS

By signing the contract, the Client agrees to the free use of the Participant’s image in the Organizer’s promotional materials (e.g., photos, videos), provided it does not infringe on personal rights.

If the Client does not consent to the use of the image, they must inform the Organizer in writing before the camp begins.

XII. FINAL PROVISIONS

In matters not covered by this agreement, the provisions of the Civil Code and the Act on Tourist Services shall apply.

Any disputes arising from the execution of the agreement shall first be resolved amicably. If no agreement is reached, disputes will be settled by the court having jurisdiction over the Organizer's registered office.

This agreement is drawn up in two identical copies – one for each party.
